LED Display Cabinet Procurement: Compatibility, Spares and Handover

Two LED display cabinet quotations can describe the same external dimensions while covering different equipment and responsibilities. One proposal may cover an enclosure, while another includes modules, power supplies, receiving cards and assembly work. Before comparing prices, establish exactly what each supplier will deliver and how those parts will form a working display.

This procurement guide helps buyers and integrators organize the questions that belong in the quotation, approved drawings and handover package. Confirm every technical requirement against the selected configuration rather than assuming that cabinets with a similar appearance are interchangeable.

Start with a clear supply schedule

Ask the supplier to identify whether the offer covers an empty cabinet, a populated cabinet or a more complete display system. List each included component and its quantity. State which items will be supplied by another party, such as the supporting frame, controller, external cables, installation labor or content source.

Use one schedule for all quotations so a missing component is visible during comparison. Record proposed alternatives separately and ask which changes would require another technical review. A lower cabinet price is difficult to assess when the equipment needed to operate it is excluded or left unspecified.

For the available product format, review the JIAMI TV LED display cabinet. Request a project-specific component schedule and assembly drawing with your inquiry.

Check the physical and module interfaces together

Confirm external cabinet dimensions, active display area and the proposed cabinet arrangement. Ask for module dimensions, mounting positions, connector locations and the method used to retain or remove modules. Record the required access direction and the working space needed to remove a component.

Matching external dimensions alone does not establish module compatibility. Ask the supplier to verify the proposed module model, pixel pitch, pixel resolution, mounting pattern and electrical interface as one configuration. If you are replacing equipment in an existing installation, provide its component labels and drawings rather than ordering from a photograph alone.

For a new display, confirm how the assembled cabinet layout relates to the required overall dimensions. Resolve joins, edge conditions and any installation tolerances in the drawings before the supporting structure is finalized. Have the responsible installation team review the mounting and handling requirements.

Confirm the electrical and control configuration

Request a component list identifying the proposed power supplies, receiving cards and controller. Ask how power and signal enter each cabinet and how cabinets connect across the display. The supplier should provide the selected system’s requirements; qualified site professionals should confirm the venue-side electrical arrangements.

Keep the control configuration linked to the actual cabinet and module layout. Request the display resolution, cabinet addressing or signal route, controller model and any configuration files needed for commissioning. Agree on who will load the configuration and who will retain a backup after handover.

If existing control equipment will be reused, identify its exact model and relevant software or firmware versions. Ask for written confirmation of compatibility with the proposed receiving cards and modules before accepting that reuse as part of the quotation.

Define the spare-parts package by component

Ask for a spare-parts list tied to the approved bill of materials. Identify spare modules, power supplies, receiving cards, cables and any required service tools individually. Agree quantities from the size of the installation, the service plan and the consequences of an interruption; there is no single spare percentage that suits every project.

Confirm how replacement modules will be identified and whether any calibration data or configuration files need to accompany them. Ask what steps are required when a replacement is fitted and who can perform those steps. Record any limits on substituting a different component revision.

Label the spare inventory so a technician can connect a part to the correct display and component model. Agree storage and handling instructions with the supplier, and identify who will check the inventory after installation.

Agree on acceptance checks before dispatch

Put the proposed inspection procedure into the order documentation. Ask which checks are performed on individual cabinets and which are performed on the assembled display. Define the test conditions, the records to be supplied and the process for documenting an issue.

  • Check quantities, labels and the delivered component models against the approved schedule.
  • Confirm that the assembled display follows the agreed layout and signal map.
  • Review representative content, text and agreed test patterns under documented viewing conditions.
  • Check the agreed service-access method and demonstrate any required configuration backup or recovery procedure.
  • Record outstanding items and assign responsibility for resolving them.

Specify measurable acceptance criteria with the supplier where they are needed. Avoid relying on a photograph or an undefined statement that the display has been tested.

Make handover useful to the next technician

A useful handover package connects the installed hardware with its operating information. Request the final bill of materials, cabinet layout, wiring information, component identifiers, control configuration, operating instructions and the agreed service contacts. Include packing information if the equipment will be moved between venues.

Confirm the procedure for reporting a fault and the information needed to identify a replacement. Record the applicable warranty terms, exclusions and return arrangements in the commercial documentation. Check which certificates or other compliance records are relevant to the selected equipment and destination without assuming that every configuration shares the same documentation.

Send JIAMI TV your cabinet layout and supply schedule to discuss the proposed configuration. If you are still deciding on the display format, compare the creative LED display range before completing the procurement brief.
